Practical Tools for Managing Change

Choosing the right tool is only half the work. These practices help a new system actually get adopted, and keep it working long after go-live.

Three practical tools

Process Mapping

Document what you actually do now — before you change anything.

Map your current intake, review, and reporting steps as they really happen, not as the manual says they should. You cannot safely replace a process you have never written down.

Documentation & Training

Build SOPs and training into the rollout, not after it.

Write short standard operating procedures and train staff as part of go-live, so the new tool becomes the way work gets done rather than an extra step bolted on months later.

Phased Rollout

Pilot small, run systems in parallel, and expect 3–6 months for full adoption.

Start with one team or case type, keep the old system running alongside the new one until it is trusted, and plan for several months before adoption is truly complete.

Change management is not a one-time event. Plan for ongoing support.
